School Messenger - Sending Reports as Email Attachments

Keeping parents informed of their student's progress in school is very important. In their fast-moving day-to-day activities, parents may not take the time to open Switched-On Schoolhouse® reports to reveal their student's grades and production. Thus, some parents may need a little extra help. One way to help them is to send reports on their child's progression through email. Your students' parents will appreciate the diligence you exhibit, as you keep the line of communication open.

Email Switched-On Schoolhouse Reports
To send a report, it must be saved to your computer. Consider creating folders to keep your documents organized.

1. Within My Documents, create a school folder.

2. Create a reports subfolder within the school folder.

3. Create a folder for each student within the reports folder.

4. Name the student folders with the last name and the initial letter of the student's first name. For example, AndersonK

5. Within each student folder, create a folder for each type of report. For example, academic plans, accumulative reports, and grade reports. The path for your grade reports should be:
C:My DocumentsAcademyReportsAndersonKGrade Reports

6. Open your grade reports in Switched-On Schoolhouse.

Note: You must have Adobe® Reader® installed on your computer.

7. Choose Preview.

8. Click on the tiny icon with the sheet of paper and disk in the upper left-hand corner.



9. Find the student's report folder. In the example below, I have also created an "Elementary" subfolder to keep elementary students separated.



10. Give the document a clear title, such as "2009-10 Quarter 1 Grade Report."

11. Choose Save.

12. Open your email program, write a message to the parent, and attach the report to the message.

13. Send your email with the attachment.

Note: If your message is the same for each parent, follow these steps to prevent having to retype the message for each email:

    • Open the previously sent email in your sent folder.
    • Select forward.
    • Change the email address to the new parent.
    • Remove "FW:" from the subject line.
    • Be sure to remove the previous student's report. Right-click and choose remove or click once on the attachment and press delete.
    • Attach the new student's report.
Print Report Cards and Daily Work Reports in Switched-On Online®
If your Christian school is using Switched-On Online, you can also print reports as .pdf documents and send them home with students using these easy-to-follow steps:

1. After logging in, choose reports.

2. Select the type of report.

3. Select all courses.

4. Choose the student.

5. Choose the start and end date.

6. Choose open with Adobe Reader.

7. Choose Save As and follow the instructions in steps 9 through 11 above.
